Step into a pivotal role supporting the day-to-day operations of a busy K-8 school environment as a Bilingual Office Manager. Based near Cambridge, MA, this full-time contract position runs Monday through Friday, from 7:00 AM to 3:00 PM, and places you at the center of communication for students, staff, and families. Youll become the welcoming face at the front desk, manage critical school records, and orchestrate key administrative workflowsall while utilizing your bilingual abilities (Spanish or Haitian Creole highly valued) to build connections across the community.
What Were Looking For:
- Experience supporting K-12 school operations (familiarity with Infinite Campus, ParentSquare, BPS (Zum) application, Otus, WBMason, and Staples platforms preferred)
- Strong data entry and management background (proficiency in Excel required)
- Admissions, enrollment, or registrar experience; DESE reporting experience a plus
- Fluent Spanish speaker; Haitian Creole also desirable
- Confident communicator on the phone, in-person, and over email
- Warm, approachable personality; adaptable to multitasking and shifting priorities
Key Responsibilities:
- Serve as primary front-desk contact, handling phones, emails, and in-person inquiries
- Oversee attendance, absence tracking, and student/family communication
- Maintain school records, update files, support report card/distribution cycles
- Assist with admissions, new enrollments, and records transfers for K-8 students
- Manage food services data, order meals, conduct audits, and track payments
- Support building operations by coordinating facilities requests, delivery logistics, and safety needs
- Collaborate regularly with school administrators and the Sr. Director of Operations
