Job Description

Step into a pivotal, dynamic role as a Bilingual Office Manager, supporting elementary and middle school students in a vibrant, multicultural environment in Dorchester, MA. As the operational cornerstone of the school, you'll be front and centerwelcoming students, staff, and families, coordinating essential processes, and promoting a positive atmosphere for learners and their families, Monday to Friday, 7:00 AM to 3:00 PM.

Your engaging presence will set the tone for the school community, whether greeting visitors, answering phones in multiple languages, or ensuring smooth office operations. You'll handle a variety of crucial responsibilitiesfrom managing attendance and supporting food services, to maintaining student records, assisting with admissions, and overseeing day-to-day administrative needs. Your bilingual skills, especially in Spanish or Haitian Creole, will be highly valued as you help families and team members from diverse backgrounds.

Key Qualifications & Experience:

  • Bilingual: Proficiency in Spanish required; Haitian Creole highly desirable.
  • Prior experience in school admissions, enrollment, registrar duties, or office management.
  • Demonstrated skill in DESE reporting, Excel, and data management.
  • Comfort with digital platforms such as Infinite Campus, ParentSquare, Zum, Otus, WBMason, and Staples.
  • Strong communication and customer service abilities with students (elementary and middle school), families, and staff.
  • Prior contracts administration and business office management experience is a plus.

Responsibilities:

  • Greet and assist staff, students, and guests at the front desk.
  • Manage attendance, daily calls about absences, and maintain dismissal logs.
  • Oversee food service documentation, meal orders, and payment tracking.
  • Coordinate student recordkeeping, report card distribution, and enrollment support.
  • Proactively report and track facilities needs.
  • Ensure operational efficiency by supporting administrative processes school-wide.
